Aventora Mobile Agent App — User Guide

Audience: Field agents and brokers using the Aventora Hub mobile app (Play Store / App Store Tap-to-Send, or the optional Android Relay APK).
1. What this app is for
The Aventora mobile app is a pocket companion to Aventora Admin and Engagement Hub. It is designed for agents who are on the move and need to:
- Send outbound engagement SMS with Tap-to-Send (Play Store and App Store) or automatic SIM relay (Android Relay APK only)
- Search and page CRM contacts, send a message, call, start engagements, save voice memos, and capture after-meeting notes
- Filter Inbox by status and channel (SMS, WhatsApp, voice)
- See a Today's Brief on Home with follow-ups, escalations, and inbox items that need attention
- Scan business cards to add or merge CRM contacts
- Respond to AI escalations when the bot needs human help (from Home)
It is not a full replacement for Aventora Admin. Campaign setup, billing, bulk uploads, and deep analytics remain in Admin on desktop.
Request early access
The mobile app is currently available by invitation. If you do not yet have access, request early access by email — your email app will open with a message to app-request@aventora.ai. Fill in your details and send. Our team will follow up with next steps, including your invitation code when your account is ready.
2. Install and sign in
Android (Play Store)
- Install Aventora from Google Play (Tap-to-Send; no SMS send/receive permission).
- Sign in with the same email and password as Aventora Admin.
- When the SMS tab shows a job, confirm Send in the system SMS app.
Android (Relay APK — SIM relay)
- Download Aventora Relay from aventora.ai/hub-relay-apk. Allow unknown apps, verify the SHA-256 checksum.
- Open Aventora Relay (not the Play Store app), sign in, grant SMS permissions, and turn relay on. A SIM is required.
iOS
- Install on a physical iPhone from the App Store (Tap-to-Send uses the system Messages app).
- Sign in the same way as Android.
First-time setup
- Invitation code (if your org uses multi-deployment builds) — enter the code from your administrator (e.g.
CA,HUB,TIPS). This selects which Aventora servers the app uses. - Sign in with your Aventora Admin email and password.
- Go to Settings and tap Re-register device (also grant SMS permissions and battery optimization on Android there).
- Grant permissions when prompted (microphone for voice memos; camera / photos for business card scan; notifications if push is enabled). SMS send/receive is requested only in the Relay APK.
- On the Play/App Store app, use Tap-to-Send on the SMS tab. On the Relay APK, turn Relay on under Settings → SMS relay setup.
To switch deployments later: Settings → Change environment (logs you out and asks for a new code).
3. Bottom navigation

Push notifications: new replies open Inbox; SMS jobs open SMS; AI escalations open Home.
4. Home (Today's Brief)
When you open the app, Home shows a personalized greeting and sections such as:
Call availability (Available / Away)
At the top of Home, use Available or Away to control whether Engagement Hub can route phone calls to you:

Your weekly schedule in Admin is not changed. Messaging (SMS/WhatsApp) is not affected.
- Needs attention — escalations, inbox replies waiting, CRM suggested actions
- Follow-ups — overdue or due tasks from Sales Cockpit
- Appointments today — when your CRM provides them
- Opportunities to review — hot or stale leads
Tap an item to jump to the contact, inbox conversation, or escalation.
Quick actions
From Home you can start:

Nothing is written to CRM until you tap Save on the review screen.
5. Inbox (engagements)
What you should see
The Inbox lists engagements from your Engagement Hub account — the same records as Aventora Admin → Engagement Hub → Call Details.
Each row shows:
- Contact (phone number, email, or instruction preview)
- Channel (Phone, SMS, Email, WhatsApp, Voice)
- Hub status (e.g.
In Progress,queued,Done) - AI summary (short description of what the client wants)
- Last activity time
Pull down to refresh.
Opening an engagement
Tap a row to open engagement detail:
- Channel, status, outcome, instruction
- Start / completed / scheduled times
- Transcript (conversation messages when available)
- History (attempt timeline, same as Admin Call Details dialog)
- AI summary card with client intent and urgency
- Recommended next action — accept, dismiss, or snooze CRM suggestions
- Reply field to send an SMS when the engagement is a conversational SMS waiting on the customer (
In Progress) - Let AI continue when you want to hand the thread back to the bot after agent handling
Actions you can take
When the engagement is eligible, action buttons appear at the bottom:

Agent handling keeps the engagement In Progress while you message the customer. Customer replies stay with you until you tap Let AI continue (the bot does not auto-resume on their reply).
These match Pause / Resume / Cancel in Admin Call Details where applicable. Send message and Let AI continue are also available in Admin → Analysis → Call Details for the same engagements.
SMS job notifications
SMS job push notifications (“ready to send”) open the SMS tab, not Inbox.
Empty Inbox?
If Inbox is empty but you expect data:
- Confirm you are signed in as the same user as Admin.
- Confirm engagements exist under Call Details in Admin for your account.
- Team members (delegates) only see engagements scoped to their profile phone — same rule as Admin.
- Ask your administrator to confirm the mobile app is connected to your organization’s Engagement Hub.
6. SMS tab
Android (full relay)
Outbound engagement SMS can route through your SIM when relay is enabled and your device is online.
On the SMS tab you can:
- Turn Relay on/off
- See online status, sent/failed counts, last sync
- Review Recent events (polls, background sends, errors)
Device registration, SMS permissions, battery optimization, and background-service status are under Settings → SMS relay setup.
Typical flow: Hub queues a job → you get a push (“ready to send”) → open SMS tab → background service sends from your SIM.
iOS (Tap-to-Send only)
Apple does not allow automatic SMS from third-party apps. The SMS tab shows a queue; you open Messages, tap Send, then confirm in the app.
7. Contacts tab (CRM contacts)
The Contacts tab helps you act quickly on people in Aventora CRM (same contacts as Sales Cockpit, scoped to your Person Wall when your organization uses it).
There is no contact search on this tab — only a short list of your most recently updated CRM contacts.
Who appears in the list?
The app shows up to N contacts (see Settings below), loaded from CRM and ordered by most recent update (newest first). This list is not limited to people you have engaged recently.
Home → Recent Contacts (on the Home tab) is separate: that section still prioritizes people from recent engagements and call activity.
Each row shows the contact name and their primary phone or email. Pull down or tap Refresh to reload the list.
Empty list?
The Contacts tab is empty only when you have no CRM contacts visible to you (under Person Wall rules). If you expect names here:
- Confirm CRM is connected for your domain (ask your administrator).
- Confirm people exist in Aventora CRM / Sales Cockpit for your account.
- If your org uses Person Wall, you only see contacts assigned to you — same rule as Sales Cockpit.
You do not need recent Inbox engagements for the Contacts tab to populate.
Open a contact
Tap a contact to open their action screen. You will see the contact’s phone or email at the top, then:
Quick actions (tap a button)
These run immediately — no voice command required.

| Let's connect | Starts a conversational outbound engagement through Engagement Hub, always by SMS. The contact receives a text and the AI can continue the conversation. |
| Book an appointment | Starts an appointment booking outbound engagement through Engagement Hub, always by SMS. The AI contacts the person to schedule. |
After Let's connect or Book an appointment, a confirmation message appears. Track progress in Inbox (same engagements as Admin Call Details).
If Call them fails, the contact may not have a phone number on file in CRM.
Add a voice memo (microphone only)
The microphone is only for memos — not for call, connect, or book actions.
- Scroll to Add a voice memo on the contact screen.
- Tap Record memo and speak your note (e.g. “Met at open house, wants a quote by Friday”).
- Tap Stop when finished.
- The app transcribes your recording and saves it as a CRM memo (task) on that person.
When done, you see the saved text on screen and a confirmation that the memo was saved.
Requirements: Your organization must have voice transcription enabled on Engagement Hub (OPENAI_API_KEY). Grant microphone permission when the app asks.
After meeting notes
From Home → After meeting or the contact screen, you can capture a longer meeting debrief:
- Select the contact (or pick from the list).
- Record or type what happened in the meeting.
- Review AI-suggested CRM note, follow-up task, and optional reminders — toggle off anything you do not want.
- Tap Save to CRM — nothing is saved until you confirm.
You may also see a Recommended next action card on the contact screen (from Sales Cockpit).
Settings for Contacts
Settings → Recent contacts shown — choose how many names appear on the Contacts tab (and on Home → Recent Contacts):

Change this if you want a shorter list on the go or more names visible without scrolling.
What Contacts is not
- Not a full CRM workspace for companies and pipelines — search on the Contacts tab covers people you can already see; use Admin for bulk work.
- Not the same list as Home → Recent Contacts (Home still favors recent engagement activity).
- Not voice control for call, connect, or book — those are buttons only.
- Not a replacement for Inbox — pause, resume, and read transcripts stay on the Inbox tab.
8. Escalations (from Home)
When AI cannot answer confidently, an escalation appears on Home → Escalations (and optionally via push: “AI needs help”).
- Open the escalation to read the question and context.
- Answer (optionally release back to AI) or Dismiss.

Push notifications require your administrator to enable them for your organization.
10. Settings

Server URLs (Auth API, Hub API) are configured by your invitation code and are not shown in the end-user Settings screen.
When your session expires, the app signs you out automatically and returns you to the login screen (no manual reconnect step).
When Mock mode appears in Settings, the app is using sample data for development — not your live Hub. Set MOCK_MODE=false in the app build environment for production use.
11. Troubleshooting
