Messaging, Outreach, and Automations

Audience: Operators running outreach after prospects are approved.

Goal: Explain inbox, templates, sequences, bookings, documents, automations, and reports.

Inbox

Inbox centralizes prospect and customer conversations across configured channels.

Use it to:

  • Filter by status or channel
  • Open a conversation thread
  • Review inbound and outbound messages
  • Add internal notes for the team
  • Close, reopen, archive, or snooze conversations
  • Use reply suggestions or auto-reply only when providers and guardrails are configured

Outbound sends and workflow-critical conversation changes are audited. Provider-specific behavior stays behind adapters — Engagement Hub for conversational channels, SMTP for email.


Social inbox (Contacts / B2C)

Social (Social inbox) is separate from the unified Inbox. It holds draft replies created from social research:

  1. Open Social.
  2. Edit a draft (drafts reference a short post topic and your campaign offer — they do not paste the full original post).
  3. Approve & publish or Reject.

Discovery is the primary Contacts value; publish is secondary and always goes through human approval in this inbox. Details: B2C Social Listening.


Templates

Templates are reusable message bodies for outreach and booking workflows.

  1. Open Templates.
  2. Create or update content (channel, language, variables).
  3. Mark templates active only after content review.
  4. Archive templates that should no longer be used.

Do not put secrets, private tokens, full webhook URLs, or sensitive customer content in template text.


Sequences

Sequences define multi-step outreach flows.

Use Sequences to:

  • Create a sequence for a campaign or playbook
  • Add steps with channel, delay, and template
  • Set daily caps and timezone
  • Configure stop-on-reply behavior
  • Review enrolled leads and step progress

Sequences depend on approved templates and messaging provider configuration.


Bookings

Booking links and calendar integration let operators and prospects schedule meetings from growth workflows.

  • Create and share booking links when the calendar provider is configured
  • Keep booking activity on the contact / opportunity timeline
  • Use booking outcomes in dashboard and recovery automations

Calendar integration is adapter-based (Aventora Calendar first).


Documents

Documents supports onboarding or KYC-style review:

  1. Upload a supported file.
  2. Analyze the document.
  3. Review extracted company, legal, registration, tax, website, industry, address, and risk details.
  4. Edit extracted fields as needed.
  5. Save the profile into CRM.

Treat uploaded and extracted documents as sensitive customer data. Do not upload production customer documents into non-production environments unless approved.


Automations

Automations manages workflow templates and operating rules.

Typical recovery-style workflows:

  • Missed call recovery
  • Stalled opportunity follow-up
  • No-response recovery
  • Follow-up reminders

Operators can seed or create templates, enable or disable automations, and adjust triggers, actions, and delays. Test carefully before enabling in a live workspace — automations can trigger workflow-critical actions.


Reports and exports

Common outputs:

  • Contacts CSV
  • Prospects CSV
  • Campaign reports
  • Audit logs
  • Executive PDF reports
  • Campaign PDF reports

Exports are organization-scoped and audited. Treat exported files as customer data.


Notifications

Workspace notifications surface important updates and system events. Operators can mark read/unread, dismiss, and open related items when available. Behavior depends on configured notification rules and providers.
